3. Description of processing activities

3.1 Personnel administration

3.1.1 Purpose

We process employee data in order to handle:

  • recruitment, employment contracts and background checks

  • salary, bonus schemes, pension, insurance and other employee benefits

  • talent and career development, training and performance evaluation

  • absence, leave, secondments, travel and expense management

  • disciplinary cases, dismissals and statutory reporting

3.1.2 Data categories

Name, address, contact details, CPR/identification number, emergency contacts, bank and salary information, employment, position and work information, CV and references, photo etc. Health information, criminal offenses (where required by law)

  • Directly from you in the recruitment or hiring process

  • Previous employers, references and recruitment agencies

  • Public authorities and registers

  • Your ongoing use of Consile systems (e.g. time tracking)

3.1.4 Legal basis

GDPR Art. 6(1)(a), (b) and (c) and Art. 9(2)(b), (f) and (g) and the corresponding provisions of the Data Protection Act (§§ 7, 8 and 11).

3.1.5 Recipients

  • IT and payroll providers, pension and insurance companies

  • Group companies and public authorities where required by law

3.1.6 Storage

Personal data is generally deleted 5 years after resignation. Candidate data for rejected applicants is stored for 6 months, unless extended consent is given.


3.2 Customer relationship

3.2.1 Purpose

We process customer and contact data when you:

  • purchase our products or services

  • are created as a customer or contact person

  • receive newsletters or participate in events

  • request offers, provide feedback or contact support

3.2.2 Data categories

We also register communication with you, such as emails, support inquiries or product reviews. Website visits are logged with IP address etc. for statistics.



3.2.3 Sources

Data comes from you, our online forms, public records, events and ongoing correspondence.


3.2.4 Legal basis

  • Consent (GDPR Art. 6, 1, a)

  • Necessity for contract (Art. 6, 1, b)

  • Legal obligation (Art. 6, 1, c)

  • Legitimate interests to operate and develop the business (Art. 6, 1, f)


3.2.5 Recipients

We never sell your data. Sharing is only done with:

  • The Group and trusted service providers (e.g. email, CRM and analytics platforms) who process data as instructed

  • Authorities or courts when required by law


3.2.6 Storage

Customer and contact information is deleted 5 years after the end of the customer relationship, unless other legislation requires longer storage.



4. Your rights

You may:

  1. request access, rectification or erasure

  2. demand restriction of processing

  3. object to processing based on legitimate interests or receive data portability

  4. withdraw a given consent (prospectively)

  5. complain to the Danish Data Protection Agency
